Terms & Conditions of Membership -
When you sign our membership application, you commit to a minimum of one year of wine club allocations. Memberships continue indefinitely until canceled in writing. Cancellations or other changes to your billing arrangements must be requested at least 3 business days in advance in writing (email is acceptable) to be effective for an upcoming release. Early cancellation will result in a minimum $100 cancellation fee. Emails to inwoodwineclub@gmail.com are acceptable for canceling or making other changes to your membership level. We begin our preparations for club releases earlier than the billing date, so we are not able to accommodate last minute changes in the middle of our preparations, and any changes requested less than 3 business days before a release may not be processed until after the approaching release is processed.
You may designate someone to pick up your wine by sending an email to inwoodwineclub@gmail.com, allowing at least 24 hours notice so that we can update the records in our tasting rooms. You can approve someone for just one pick up or indefinitely. We cannot accommodate phone requests, as we need a written record of who is approved to take your wine for you. Please understand that this rule is in place to ensure your wine is not given out inappropriately.
Typical Schedule for each Club Release: In each release month, we charge cards on or about the 1st of each billing month. Please be sure to timely update your payment information when your card expires or is replaced. Bottles are made available for pick up or shipping around the middle of the month, starting with the pick up party. The wine club pick up party is generally held in Fredericksburg on the 3rd Sunday of the month, and one day earlier on Saturday in Dallas. We provide specific availability dates in our member newsletters, as well as information about the newly released wines and wine club events, so please be sure to watch for those in your inbox.
- Pick Up Members: If you are unable to attend the pick up party, you can start picking up your wines after the party on any day we are open. We are currently open in Fredericksburg 7 days a week from 11:00 - 5:00pm (6:00 pm on Fridays and Saturdays). The Dallas tasting room is open Saturdays only from noon to 5:00. We allow delayed pick up of your wines for up to 12 months following the club release; due to limited storage, we do not track or honor pick ups older than a year. We DO NOT automatically ship wine that is not picked up, but you are welcome to request and pay for shipping of any uncollected bottles by calling our tasting room or sending an email. If you delay your pick up, we cannot guarantee the availability of popular vintages, but will honor the value of any sold-out bottles by substituting newer or similarly priced wines.
- Shipping Members: We usually start shipping the week after the pick up party. We use special containers to ship during the hot summer months, and we reserve the right to delay shipments if we have weather concerns. We will send an email if a delay is anticipated.
For shipping and handling of any bottles, we charge the following flat rate fees to any location in the contiguous United States: $29 for 1-2 bottles, $38 for 3-6 bottles, and $48 for 6-12 bottles. The most bottles we can fit in a single box is 12, but we can ship additional boxes as needed. All wine shipments are made using FedEx Ground, and federal regulations require signature by someone over the age of 21 yrs. Hence, post office boxes are not an option. You will receive tracking information for your shipment directly from FedEx to the primary email on your account. If the timing of delivery proves difficult, you may redirect the shipment to another location or request that the shipment be held at the nearest FedEx shipping center, Walgreens, or other affiliated retail location. We are unable to redirect shipments once your tracking number has been assigned, but you may request new arrangements directly with FedEx within a limited window of time: after the first delivery attempt fails and prior to the third delivery attempt. FedEx will automatically return undelivered packages to the winery after three delivery attempts. If your bottles are returned, we will hold your order for pick up at either of our Fredericksburg or Dallas tasting rooms, or you may request and pay for re-shipping.
